Problem-first digital adoption
Before choosing software, AI, or automation, understand which work problem you are trying to solve and what conditions the change requires.
When a team wants to improve how it works digitally, the conversation usually starts with tool names: Notion, Asana, Slack, Make, ChatGPT, Copilot, Airtable.
That is understandable. Tools are visible. The underlying problem takes more conversation.
The question that comes first
Before choosing a tool, ask:
Which way of working do we want to change?
Some possible needs:
- finding information faster;
- coordinating tasks across departments;
- documenting processes;
- reducing manual work;
- improving the quality of communication;
- analyzing scattered information;
- making decisions traceable.
Each problem calls for a different solution. Sometimes the answer is software. Sometimes it is a team agreement. Sometimes it is removing steps.
Three signs it is time to review the approach
- The tool has already been purchased, but the priority problem is still unclear.
- The team was trained on the tool's features, but still needs to apply them to real tasks.
- Adoption is measured by the number of active accounts, not by improvement in the work itself.
At that point, the discussion stops being technological and becomes organizational.
A healthier way to start
Try this sequence:
- Describe the problem with concrete examples.
- Identify who it affects and how often.
- Measure the current cost: time, errors, coordination, stress, or lost information.
- Define what would change if the problem improved.
- Evaluate tools.
A good question greatly reduces the margin for error.
